Prospective Suppliers

Avendra Group constantly seeks to develop and expand business relationships with suppliers in our contracted product and service areas.

If you are interested in being considered as a prospective supplier, we encourage you to read the information below and fill out the Prospective Supplier Form. Please note that taking part in this process does not guarantee your company will become a contracted supplier. Filling out the Prospective Supplier Form registers your company’s name and information into our database of potential suppliers. Completion of this prospective supplier form will allow your company’s information to be searchable by our Strategic Sourcing team during planned Category Reviews.

Below is a step-by-step outline of the Avendra Group process.

Step 1: Filling out our Prospective Supplier Form

All prospective suppliers are required to fill out the Prospective Supplier Form. This form gives us some initial, but important, information about your company and provides us an opportunity to learn more about your business. No attachments or additional documents will be accepted.

Step 2: Confirmation that we have received your information

When we have received your information, we will let you know via confirmation email that you have been added to our database of potential suppliers. This database is referenced during Category Reviews, when there may be a need for a new bid or contract for a product or service (see Step 3). If you don’t receive a confirmation email within 24 hours, please check your spam folder.

Please note that prospective suppliers are not rejected or declined in our process. Our approach is to collect interest forms from suppliers who may want to work with us. As our business grows and evolves, opportunities for new contracting initiatives may arise.

Step 3: Category Reviews

The frequency of a Category Review varies from one to four years depending on many factors, including the term of current contracts and the needs of our customers. Our philosophy is to contract with the fewest number of suppliers within a specific category to meet customer needs and then work to develop the business with those contracted suppliers.

When it comes time for a planned product or service review in your category, our Strategic Sourcing associates can refer to the information you provided in the Prospective Supplier Form. If there is an opportunity during a Category Review that warrants outreach to your company, an Avendra Group associate will contact you at that time.

During planned product/service category reviews, potential suppliers are evaluated on a wide range of criteria, including:

  • Years of business history (a minimum of three are required)
  • A record of excellent customer service
  • Competitive pricing
  • Rigorous standards for quality, consistency of service, and on-time delivery
  • Insurance and indemnification requirements
